🙋 What is Reverse Pickup (RVP), Replacement, and Refund Requests ?

Learn about the actions that you can take post-delivery of an order & how they work.

Sometimes, even after delivery, customers may ask for a change — like returning the product, getting a replacement, or asking for a refund. To make this easy, vFulfill gives you three clear options:

Reverse Pickup (RVP), Replacement, and Refund End Customer. Here’s what each means and how it works.




🔄 What is Reverse Pickup Request (RVP) ?

Reverse Pickup (RVP) means arranging for the delivered product to be collected back from your customer’s address and returned to the vFulfill warehouse.

👉 Tip: Only initiate RVP if the product is in good, re-sellable condition. Otherwise, you may end up paying the RVP cost for a product that cannot be resold.


❓ How RVP Works Step by Step:

What Happens

1. Request Raised

You select Request Action >> Reverse Pickup on the delivered shipment.

2. Initiation

vFulfill team initiates the pickup and generates a tracking number and you can track it like a forward order.

3. Pickup Attempt

A delivery person will visit your customer’s address to collect the product.

(Multiple attempts may happen if the first attempt fails.)

4. In-Transit

Once picked up, the shipment travels back to vFulfill’s warehouse.

This usually takes 5–7 days, depending on the pickup location.

5. QC at Warehouse

On arrival, our team opens the package and performs a basic Quality Check (QC):

Good Condition → Product is added to your Good Inventory.

Bad Condition → Product is added to Bad Inventory and cannot be resold.

6. Closure

Once QC is done, the request is marked Closed, and you can view the outcome under request notes.




📦 What is a Replacement Request ?

A Replacement request means creating and sending a new order for your customer - usually when they want a different size, color, or a fresh piece of the same product.

❓ How Replacement Requests Works Step by Step:

What Happens

1. Initiate Replacement

On the delivered shipment, click Request Action >> Replacement.

2. New Order Created

A fresh order is automatically generated in your Open Orders. This is a Prepaid Order, meaning:

  • Your customer doesn’t pay anything again.

  • You still cover the costs (fulfillment, shipping, convenience fee, COD charges if applicable).

3. Place the Order

You need to manually place the replacement order from the Open Orders tab.

4. Processing

The replacement order goes through the same workflow as any new order:

Picking → Packing → Generating AWB → Ready to Ship → Dispatch.

5. Delivery

The replacement product is delivered to your customer, completing the cycle.

👉 Note: Many sellers combine RVP + Replacement. For example, they first raise RVP to collect the old item, and simultaneously or later create a Replacement order for the new one.





💰 What is a Refund End Customer Request ?


A Refund End Customer request means returning money to your end-customer from your vFulfill wallet when the customer doesn't chose for replacing or exchanging the product.

👉 Important: Refund requests are only available if:

  • You’re operating under vFulfill’s GST account and

  • The order type is COD (Cash on Delivery)
    OR

  • vFulfill has collected the payment for your pre-paid orders


❓How Refund Requests Works Step by Step:

What Happens

1. Request Raised

On the delivered COD shipment, click Request Action >> Refund End Customer.

The request enters the Open state.

2. Processing

The vFulfill team verifies and processes the refund directly to your end-customer.

3. Wallet Adjustment

Since COD payments are already remitted to your vFulfill Wallet, the refund amount is also deducted from your wallet balance.

4. Closure

Once the refund is issued, the request is updated with notes and marked Closed.
