As your business grows, there may come a point where you need someone to help manage orders, track shipments, handle customer support, or monitor daily operations.

While involving your team is important, sharing your main account credentials with everyone is neither secure nor practical.
โ€‹

To help you manage your team efficiently, vFulfill allows you to create additional users and assign custom roles and permissions. This gives you complete control over what each team member can access inside your account while keeping your business data secure.

You can manage team members, create custom roles, and control user permissions from: Profile Icon >> Manage Users

Within this section, you will find two tabs:

  • Users List โ€“ Used to add, edit, and manage team members.

  • Roles โ€“ Used to create and manage custom roles and permissions.


๐Ÿ™‹โ€โ™€๏ธ Why Should You Use Custom Roles and Permissions?

Your vFulfill dashboard contains important business information such as products, orders, shipments, customer details, wallet transactions and reports.

Not every team member needs access to all areas of the dashboard. With custom roles and permissions, you can control exactly what each user can view or manage based on their responsibilities.

This helps keep your business data secure, prevents unnecessary access, and allows your team to work efficiently without sharing a single account.

๐Ÿ’ญ How Does User Management Work?

Setting up a new user involves two simple steps.

Step 1: Create a Role

A role is a collection of permissions that determines what a user can access and manage within your dashboard.

Step 2: Assign the Role to a User

Once the role is created, you can assign it to one or more users while adding them to your account.

This ensures that each team member only has access to the sections they need for their daily tasks.


๐Ÿง‘โ€๐Ÿ’ป How to Create a Custom Role?

Before adding a user, you should first create the role that will define their level of access.

Step 1 : Navigate to: Profile Icon >> Manage Users

Step 2 : Open the Roles tab and click Add New Role.

Step 3 : You will now see a list of available permissions across different modules of the dashboard. Select the permissions you want this role to have access to.

For example, if you are creating an Order Management role, you may choose permissions related to:

  • Orders

  • Shipments

  • NDR Management

  • Order Support

You can also grant complete dashboard access by selecting Select All Permissions & Continue.

Step 4 : Enter a name for the role. Choose a name that clearly identifies the purpose of the role, such as Order Management, Customer Support, Operations Team, or Finance. Click Continue again to save the role.


Your custom role is now ready and can be assigned to any user in your account.


๐Ÿง‘โ€๐Ÿ’ป How to Add a New User?

Once your role has been created, you can proceed with adding a new user.

Step 1 : Navigate to: Profile Icon >> Manage Users

Step 2 : Open the Users List tab and click Add New User.

Step 3 : Fill in the user's details, including:

  • User Name

  • Email Address

  • Select the store or stores that the user should be able to access.

  • Choose the role you would like to assign to the user. You can select any of the custom roles you have already created.

Step 4 : Click continue to review the assigned permissions and complete the setup.

The user will now be added to your account with the selected access level.

As your team grows, it is a good practice to review user permissions periodically and ensure that each person only has access to the tools they currently need.

1. Can I assign the same role to multiple users?

Yes. Once a custom role has been created, it can be assigned to multiple users who perform similar responsibilities.

2. Can one user access multiple stores?

Yes. While adding a user, you can select one or more stores that the user should have access to.

3. Can I edit a user's permissions later?

Yes. You can update user permissions at any time by modifying the assigned role or assigning a different role to the user.

To edit an existing role:

  1. Open the Roles tab.

  2. Locate the role you want to update and click Edit Permissions.

  3. Select or deselect the permissions you want to modify.

  4. Click Continue and Update Role to save your changes.

โš ๏ธ Important: Any changes made to a role will automatically apply to all users currently assigned to that role.

4. Can I create multiple custom roles?

Yes. You can create as many custom roles as needed based on your team's workflow and responsibilities.

5. Will all users be able to see my business data?

No. Users can only access the modules and information that you explicitly grant them permission to view or manage.

6. What happens if I reach the user limit available on my plan?

If you have already utilized all user accounts included in your plan, you will need to upgrade your subscription before adding additional team members.
